What things cost, when to book, and what to check before paying an advance.
Mandap-only decor in your city typically runs ₹40,000–₹1,20,000. Mandap plus stage and entrance sits at ₹1,50,000–₹4,00,000. Full venue transformation with imported flowers and custom fabrication starts around ₹5,00,000 and has no real ceiling. Fresh flower choice is the single biggest cost variable.
Concentrate spend where guests and cameras linger: the mandap, the stage backdrop and the entrance. Use seasonal local flowers rather than imported ones, choose fabric and lighting over dense floral fill for large areas, and reuse the mehndi setup elements for the following day where the venue allows.
Most setups begin the night before or from 2–4 AM on the day, depending on when the venue releases the hall. Confirm the venue’s access time in writing and make sure your decorator has it too — a late hall handover is the usual reason decor is unfinished when guests arrive.
Ask for a to-scale layout or 3D render for anything you are paying significantly for, and get flower varieties named in the quote rather than described as "seasonal blooms". Substitutions are legitimate when a flower is unavailable, but they should be agreed in advance, not discovered on the morning.
Four to six months for a peak-season date in your city. Decorators can physically execute only a limited number of setups per night, so good ones close November–February dates early. Book after your venue is confirmed, since the design depends entirely on the space.
Most your city decorators handle decorative and ambient lighting. Stage lighting for performances and sound systems usually come from your DJ or a separate AV vendor. Clarify who owns what, because lighting is the most common gap between the decor and entertainment scopes.
You do, in most contracts. Venues commonly hold a refundable damage deposit against nail holes, adhesive marks and flooring damage. Make sure your decorator knows the venue’s restrictions on drilling and hanging before they design anything that needs fixing to a wall or ceiling.
It should be, but confirm it explicitly along with the completion time. Venues charge overstay penalties by the hour and those bills land on you, not the decorator, unless the contract says otherwise.
