Wedding Planners: Common Questions

What things cost, when to book, and what to check before paying an advance.

Day-of coordination in your city runs ₹75,000–₹1,50,000. Partial planning is ₹1,50,000–₹4,00,000. Full-service planning is typically 8–12% of your total wedding budget, or a flat ₹5,00,000+ for larger weddings. Destination weddings are quoted separately because guest logistics dominate the work.

For weddings above roughly ₹25 lakh, or any wedding where the families are in different cities, planners usually pay for themselves through vendor negotiation and avoided mistakes. Below that, day-of coordination alone often delivers most of the value at a fraction of the fee.

Full planning starts at budget-setting and covers vendor selection, contracts, design and execution over several months. Day-of coordination begins 2–4 weeks out: the planner takes over your existing bookings, builds the run sheet and manages the actual days so your family does not have to.

Some do, and that is the key question to ask before hiring. A commission model can bias recommendations toward vendors who pay the most rather than the ones who fit you best. Planners charging a transparent flat or percentage fee with no vendor kickbacks are generally the safer arrangement.

Yes — this is exactly what partial planning and day-of coordination are for. Bring the planner in with your signed contracts and they will build the timeline, manage the vendors and run the event. Do this at least 4 weeks out so they have time to contact everyone.

Ask directly, and ask specifically about your date. A planner running three weddings the same weekend will send a junior team member to yours. Get the name of the person who will actually be on site written into the contract.

Nine to twelve months for full-service planning, so they are involved before the venue is locked. That first decision shapes everything downstream, and a planner brought in afterwards is working around a constraint they did not get to influence.

Most established your city planners do, and destination work is where their value is highest — room blocks, guest transfers, vendor sourcing in an unfamiliar market and local permissions are genuinely hard to manage remotely. Expect travel and accommodation for their team to be billed separately.
