Banquet halls in your city start around ₹80,000–₹2,00,000 for a half-day rental, while hotels and resorts run ₹3,00,000–₹15,00,000 depending on guest count and inclusions. Many venues quote per plate instead of rental — typically ₹700–₹2,500 for vegetarian menus — with the hall included above a minimum guarantee.

Visit at the same time of day as your function. Check the air conditioning under load, actual parking capacity, generator backup, the size of the stage area your decorator will work with, and whether outside caterers and decorators are permitted or charged a royalty. Get the cancellation and postponement terms in writing.

It varies. Many your city venues have exclusive in-house catering, some allow outside vendors on payment of a royalty fee (₹200–₹500 per plate is common), and a few are fully open. This one clause can swing your total budget significantly, so clarify it before paying an advance.

Treat the venue’s stated capacity as an upper limit for a standing reception. For a seated dinner with a buffet and a stage, plan for roughly 60–70% of the quoted number. Overcrowding is the most common complaint families report after the event.

Most venues require you to pay for a minimum number of plates regardless of how many guests attend. If your realistic count is 400 and the minimum guarantee is 500, you are paying for 100 absent guests. Negotiate this number down before signing — it is often more flexible than the per-plate rate.

The venue should be your first booking, 8–12 months ahead for a peak-season date in your city. Every other vendor’s availability depends on your date, and your date depends on the venue. Popular muhurtham dates in November and December are often taken a year in advance.

Hotels and resorts typically include a complimentary room block for the couple and immediate family, with additional rooms at a negotiated rate. Standalone banquet halls rarely offer rooms. If you have significant outstation family, a venue with rooms often costs less overall than a cheaper hall plus separate hotel bookings.

A 20–30% advance to block the date is standard in your city. Most advances are non-refundable but may be transferable to another date within a defined window. Read the postponement clause carefully — it matters more than the cancellation clause in practice.
