The 12-Month Wedding Planning Timeline That Actually Works

Most planning checklists are ordered by when things feel urgent. That is the wrong axis. What matters is dependency: some decisions constrain everything downstream, and making them late forces expensive compromises everywhere else.

12–9 months out: the constraining decisions

Fix the guest count range, the total budget and the date. Then book the venue. Everything else — catering scale, decor design, the number of rooms you need, even which photographers are free — flows from these four. Families who book decor before venue almost always redo the design.

9–6 months out: the vendors who take one wedding a day

Photographer, makeup artist and planner. These are single-booking-per-day businesses, so the good ones fill peak-season dates first. If your date is in November through February, treat this window as hard.

6–3 months out: the scalable vendors

Caterer, decorator, DJ and mehndi artist. These businesses can run multiple teams, so availability pressure is lower — but the quality of the team assigned to you drops if you book late in the season. Confirm named staff in the contract.

3–1 months out: locking detail

  • Menu tasting and final menu sign-off
  • Makeup trial (4 weeks out, not the week of)
  • Final guest count to the caterer and venue
  • Run sheet shared with every vendor
  • Outstation guest rooms and transfers confirmed

The final fortnight

Stop making new decisions. This is when 8–12% of budget overrun happens, almost entirely through additions nobody had time to evaluate. Hand execution to a coordinator, even if you have planned the rest yourself.
